Important Notification: New Mass SMS Regulation In-effect

Lately, there has been a rise in SMS spams. To control the spams, the Telecom Regulatory Authority of India (TRAI) now requires all firms to register on a new regulatory platform (Distributed Ledger Technology) for sending SMSes to employees.

The mandatory registration means that the SMSes you send through the greytHR platform would only be based on registered templates. To ensure a smooth transition, we are getting multiple SMS templates pre-registered for greytHR. We are awaiting the approval and once approved by the Telecom operators, the templates will be updated.

To ensure compliance with the TRAI regulations, customization of SMS is no longer supported. The new rule is effective from 01st February 2021.

Kindly note that while the approval process is going on, you might experience a short-term disruption in SMS service from 1st February. We recommend utilizing greytHR Email service for communication till further notice.

Ensure Company Policies and Forms Acknowledgement during Employee Onboarding

Gathering and organizing employee information in the forms such as Contract forms, Background check disclosure forms is a valuable and regular task for any HR team. Similarly, making employees aware of various company policies such as Leave Policy, Attendance Policy, Laptop Policy is equally important during employee onboarding.

To facilitate the process, we have modified Configure Employee Onboarding Sections page into Employee Onboarding Policy page. We are also happy to introduce you to the Acknowledgement required option on the Employee Onboarding Policy page. The acknowledgment required option allows you to configure the policies and forms that must be acknowledged by employees during onboarding.

The acknowledgment required configuration option helps you to:

  • Outline the opportunities and benefits provided by the company to the employees.
  • Inform the employees about company policies and forms.
  • Configure company policies and forms that require ‘Acknowledgement’ to be part of employee onboarding.
  • Collect the information and the acknowledgment in one space.
  • Auto-update acknowledged and verified company policies/forms in Employee Documents.

New Enhancement - Company Policies & Forms

Hope you have explored our new enhanced greytHR Company Policies & Forms module. We are here with a new enhancement for Forms.

Under Forms, you can now upload forms in multiple formats and release the form to your employees. We are now supporting all the file formats such as docx, odt, pdf, xls, xlsx, doc, txt, ppt, pptx file formats. No more restrictions while uploading forms into your greytHR account.

To see the latest changes in the Company Policies & Forms module, navigate to Employee > Setup > Company Policies & Forms > Forms.

Labour Welfare Fund Karnataka Revisions Revoked

If you recall, we had published a statutory update on 18th Dec 2020 regarding the revision of Labour Welfare Fund (LWF) contribution for Karnataka State. This was as per the gazette notification dated 1st Dec 2020. The recent statutory update on LWF amendment explained the restoration of previous LWF contribution rates.

However, the government of Karnataka has now revoked the LWF amendments as per the new press release issued on 19th Dec 2020. The latest revised LWF contributions for Karnataka state are as follows:

  • Employee Contribution: Rs. 20
  • Employer Contribution: Rs. 40

Please note that we have now revoked the changes in our application as well. This is how the latest update concerns you:

  • If you have already processed the payroll for Dec 2020, you can re-process the payroll so that revised rates are effective and reflected in the December month payroll.
  • If you have already processed and finalized the payroll, do not re-process the payroll so that the changes will not affect your payroll.
  • If the payroll is finalized; however, you need to re-process the payroll, you can contact our support team to help you override the same.

Revised Contribution Rates for Karnataka Labour Welfare Fund

The government of Karnataka has recently announced an amendment under Karnataka Labour Welfare Fund Act, 2017. As per the gazette notification dated 1st Dec 2020, the revised rates of Karnataka Labour Welfare Fund are:

  • Employee Contribution: Rs. 6 (Previous rate - Rs. 20)
  • Employer Contribution: Rs. 12 (Previous rate - Rs. 40)

The new amendment will be applicable to all factories which consist of 10 or more employees and establishments having 50 or more employees on any day during the preceding 12 months. We have implemented the changes in our application, and this is effective from December 2020 payroll.
